How to Find and Book the Right Wedding Vendors
Your vendors are the people who will execute the most important day of your life. And yet most brides treat the vendor selection process like an afterthought — booking based on word of mouth, lowest price, or a pretty Instagram page without ever actually vetting the person behind it.
I have seen what happens when that approach goes wrong. And I want to make sure it does not happen to you.
The Biggest Mistake Brides Make When Looking for Vendors
The most common mistake I see is booking vendors without properly vetting them.
A friend recommends someone. A vendor has a beautiful Instagram page. Someone in a Facebook group shares a name. And the bride books them — sometimes without reading a single review, asking a single question, or getting on a single call.
Word of mouth is a starting point. It is not a finish line. Someone else's experience with a vendor does not guarantee your experience will be the same. Styles change. Availability changes. Quality changes. You owe it to yourself to do your own research every single time regardless of who recommended them.
What Happens When You Book the Wrong Vendor
I had a bride book a makeup artist who was talented at everyday makeup but had no experience with bridal work specifically. There is a real difference between a makeup artist and a bridal makeup artist — and it shows up on your wedding day.
The makeup was not built to last. It started coming off. The experience was not what a bridal service should feel like. And she spent one of the most photographed days of her life feeling less than her best.
That is not something you can redo. Those photos exist forever.
Bridal vendors are specialists. Your photographer, your coordinator, your hair and makeup artist — these are not general service providers. They are professionals who specialize in weddings specifically and that specialization is worth investing in.
Affordable vs Cheap — Is There a Difference?
Honestly — in most cases they are the same thing.
You will occasionally find a vendor who is offering special pricing because they are rebuilding their brand or building their portfolio and they are genuinely talented at what they do. Those exist.
But most of the time a very low price reflects exactly what it sounds like — limited experience and limited skill. A vendor who cannot charge more yet is a vendor who has not yet earned the right to charge more. That is not a judgment — it is just the reality of how pricing works in this industry.
For your highest priority vendors — your photographer, your coordinator, your DJ and emcee, your hair and makeup — this is not where you cut corners. The consequences of getting those wrong are permanent.
Questions to Ask Every Vendor Before You Sign
Before you sign with any vendor regardless of category ask these questions:
What are all of your policies — cancellation, refund, and rescheduling?
What do you need from me before the wedding day to do your best work?
What will I receive from you and by when?
What does a normal wedding day look like for you?
Make sure every answer is in the contract. Do not trust words or emails alone. If it is not in writing it does not exist legally. A contract protects both of you and any professional vendor will have one without hesitation.
Red Flags to Watch For
Two red flags I always tell brides to watch for:
A vendor who pressures you and does not want to give you time to think. Following up professionally is normal. Getting impatient or pushy when you want to take time to make a decision is not. That energy does not improve after you sign.
A vendor who is willing to give you a massive discount just to have you as a client. Occasional promotions are normal. But a vendor who dramatically drops their price simply to close the deal is a vendor who may not have enough confidence in their own work — or enough booked clients — to hold their rate.
Trust your gut in those initial conversations. How a vendor communicates with you before you sign tells you everything about how they will communicate with you after.
